Expense Tracking for Digital Nomads: A Working Setup

Four currencies, receipts you will need in a year, and costs split with people you just met.

People who change country every few months hit the same three problems. Spending sits in four currencies and no total makes sense. A receipt is needed months later — a client rebill, a tax question, a visa application — and it is long gone. And costs are constantly split with people they will not see again. None of this is solved by trying harder. It is solved by deciding once what gets recorded and making that take under ten seconds. Here is a setup that works, built around Penvo: 25 currencies in one ledger, voice entry that does not need the app open, and shared ledgers that settle in a single step.

One ledger, every currency

Start here, because getting it wrong costs you the whole year. Record the original amount and the original currency, every time. Do not convert in your head. Pick one reporting currency and keep it fixed as you move. The failure mode to avoid is the app that supports many currencies but only one per wallet — you end up with a Thailand wallet, a Portugal wallet and a Japan wallet, and no way to see a month. Penvo mixes all 25 in the same ledger and converts for the total, so a month spent across three countries is still one list.

Photograph the receipt while it is in your hand

Thermal paper fades, and it fades faster in a bag in a hot country. Within a year a supermarket receipt can be blank. Anything that might matter later gets photographed at the moment you receive it — equipment, a coworking day pass, a long-haul flight, medical costs, anything over a threshold you set for yourself. Penvo reads the merchant, total and currency straight off the photo and files the image with the expense, so the picture and the record stay together instead of the photo drifting into your camera roll where you will never find it again.

Record it before you put the phone away

The whole system depends on capture being effortless, because you are recording in taxis, on platforms, walking out of restaurants. Hold the + button and say it. Ask Siri without unlocking. Two taps on the Watch. One tap from the home-screen widget. On iPhone 15 Pro and later, the Action Button starts a recording without touching the screen. This is the part that decides whether you still have records in month four. A tracker that needs you to open it, tap through a form and pick a currency is a tracker you will stop using.

Splitting costs with a group that changes every month

You share a villa for two weeks with five people, and you will not see most of them again. Penvo shared ledgers let everyone record their own spending into the same book, in their own currencies, with the group total updating live. At the end, one tap on settle works out who owes whom across the whole ledger and clears the balances in a single step — no spreadsheet, no arguing over the exchange rate someone used. The advantage over a dedicated splitting app is that the shared spending and your own spending live in the same place. Splitwise tracks who owes what but has no personal expense tracking, so you end up running two apps and reconciling them by hand.

Assume the connection will drop

Airports, trains, rural stays, an eSIM that quietly stops working. A tracker that needs the network to save will lose expenses. Penvo writes to the phone first and syncs in the background, so an expense recorded on a plane is on the device immediately and reaches the cloud when the connection comes back. Worth testing on any app you rely on: turn on airplane mode, record something, turn it off, and check it survived.

Split business from personal on day one

If any income is freelance or through your own company, separate those expenses as you enter them. Untangling a year of mixed spending is miserable work and it is what accountants charge most to fix. Penvo has a business mode one tap from the personal ledger, with its own income, costs, receivables and reports. The decision happens when you pay, not in April.
